Hi sponsors! We’re excited to have you join us for Write the Docs Portland 2026. Below is a conference overview, schedule, and detailed information regarding your participation.

9:00am-5:00pm: Speaker Talks and Unconference
11:05am: Booth sponsor introductions on main stage
5:05pm: Conference Day 1 ends
7:00-9:00pm: Evening party at Jupiter NEXT, 900 E Burnside St (2nd floor)
TUESDAY, MAY 5:
8:00am: Keystone/Patron sponsor arrival
8:30am: Doors to venue/sponsor booths open
9:20am-4:25pm: Speaker Talks and Unconference
4:25pm: Conference ends/load out
6:00pm: Out of venue
Conference Overview¶
SUNDAY: The conference begins with Writing Day and typically is attended by one third of our attendees. The Welcome Reception takes place in the evening and brings in an additional wave of attendees. There are no sponsor booths this day, but sponsors are encouraged to submit and lead a Writing Day project.
MONDAY: Day 1 of Speaker Talks and Unconference. Booth setup for Keystone and Patron sponsors. Attendees arrive promptly when doors open, and the remaining two thirds of attendees check in that morning. Sponsor introductions are on the main stage for Keystone and Patron sponsors. The day features seven speaker talks with short breaks between each session, and the Unconference track runs in parallel. An offsite social gathering is held Monday evening.
TUESDAY: Day 2 of Speaker Talks and Unconference. The day features six speakers. Schedule reflects Monday with slight adjustments to beginning and end times.

Sponsorship Benefits During the Conference¶
Each sponsorship includes different opportunities to engage with our attendees. View further information below on specifics to sponsor booths, Writing Day, Unconference, and Lightning Talks.
Sponsor Booths - Keystone and Patron¶
Sponsor booths are set up in the main hallway on Monday and Tuesday outside of the auditorium.
Location: Main hallway, outside the auditorium Availability: Monday and Tuesday, full conference hours
What Write the Docs Provides¶
Keystone: 8-foot table with 2 chairs, monitor, power and wifi access
Patron: 6-foot table with 2 chairs, power and wifi access
Monitor rental available for Patron sponsors for an additional fee
What the Sponsor Provides¶
Table linen
Laptop, tablets, or monitor to display your product
Banner (must fit behind your table)
Swag for attendees (stickers are the most popular item)
Booth Logistics¶
Setup: Arrive at 7:00am Monday. The venue opens to attendees at 8:00am. Load-in instructions will be sent closer to the conference.
Presence: Be at your booth during breaks and at the start of lunch.
Load-out: You are responsible for loading in and out your entire booth setup. All materials must be out of the venue by 5:30pm Tuesday.
Tips: Engage with folks as both a sponsor and attendee. QR codes are a great way to get people to a website quickly.
Lightning Talk Sponsor¶
If you are sponsoring a Lightning Talk, you will be given 60 seconds to share about your company. This will occur on Monday OR Tuesday after lunch. If you want to use a slide for your introduction, let us know. Otherwise, we will create a slide with your logo.
Participate in Writing Day¶
Host a project at Writing Day. This is a place where the community gathers to get actual work done and is a great opportunity to meet with a small group and have extended interaction with attendees.

Submit your Writing Day project here. All projects submitted by April 22, 2026 will be published to our website, which encourages attendees to attend, engage with your product, and contribute to your documentation.
Host an Unconference Session¶
Host an Unconference session. This is a wonderful opportunity to lead, contribute, share ideas, and discuss problems in an organized setting with small groups of people.
Logistics:
Sessions are 40 minutes in length on Monday and Tuesday.
Let us know in advance if you plan to run an unconference session so we can confirm a suitable timeslot for you.

Frequently Asked Questions¶
How do I get the most out of my sponsorship?¶
Come prepared to engage with our community, and to learn just as much as you teach. Engage with our event as attendees as well as other sponsors. Send technical staff who can chat with people on the interesting things your company is doing, and get value from the vast amount of insight in the room. We do have some decision makers in the room, but soft sells will work better than hard sales in the environment we strive for.
Who is my primary contact?¶
Eric Holscher will be your primary contact, but our team is available at sponsorship@writethedocs.org. If you have a time sensitive inquiry, please email the entire team to ensure a timely response.
If you have questions during the conference, check in with our Executive Producer Katie Janovec or our Welcome Wagon team at registration. You will find staff members there to answer any additional questions you might have.
How do I use my sponsorship tickets?¶
You should have received a unique URL with a discount code for your sponsorship tickets. We are happy to send it over again, just ask!
How should I send my booth materials?¶
Keystone and Patron sponsors are allowed to send 3 boxes at 24”x18”x18” in size. Please contact us for the shipping address for an organizer, as the venue doesn’t accept packages.
Packages must arrive between April 27 and May 1.
Sponsors are responsible for all sponsorship materials after they arrive at the venue.
Sponsors are responsible for mailing all materials after the conference.
Please print your return shipping labels prior to coming to the venue to send your materials back.
We suggest scheduling a FedEx pickup for your return shipment so your materials can be collected directly from the venue.
All materials must be out of the venue by 5:30pm on Tuesday.
